In this role you will help create a strategy for growing asbestos/industrial hygiene clients (business development); prepare complex proposals and quotations to ensure proper scoping of services and project risk management; ensure the availability of manpower and pricing to render a profit; advise, inspire performance, and mentor Asbestos/IH department personnel, helping them to advance their careers and professionalism.

You will also manage Asbestos/IH projects. These duties may include completing the project as per its contracted scope; monitor progress and performance against the project plan. Position Responsibilities

  • Preparation of proposals and cost estimates and ensure the work is done with high quality and client satisfaction.
  • Inspiring, mentoring and mentoring department personnel.
  • When necessary, performing field studies including asbestos, airborne chemical monitoring, noise monitoring, and indoor air quality.
  • Investigating workplaces to identify physical and chemical risks.
  • Design, communicate, and implement a project plan for completing a project.
  • Resolve operational problems and minimize delays.
  • Prepare designs and work specifications; develop schedules, budgets and forecasts; select materials, equipment, project staff, and contractors.
  • Partner with other departments or offices to secure specialized resources for the project.
  • Conduct project meetings and prepare reports to communicate the status of the project within and beyond the project team.
  • Coach and mentor project staff and assist them to solve problems.

Requirements:

  • CIH (and/or CSP) Preferred. A minimum of 10 years’ of comprehensive industrial hygiene and asbestos experience.

    • Get the lay of the land and have a lot of Zoom coffees in order to onboard and integrate into Toptal.
    • Begin learning about Toptal’s history, culture, and vision.
    • Join team calls and shadow meetings that will help you ramp up.

In The First Month, Expect To

    • Take a deeper dive into understanding the functions you will be working with across Toptal and begin meeting key teammates and stakeholders.
    • Work on developing new process protocols with the Executive Creative Director, setting up frameworks that you’ve used previously, know to be successful, and believe in their ability to translate into our company and culture.
    • Set up processes that are measurable so that you can track the success of the projects you will run.

In The First Three Months, Expect To

    • Assess progress alongside the Executive Creative Director and make tweaks.
    • Ensure that you have a solid process developed and implemented for providing status reports and timely updates to project partners and stakeholders.
    • Continue experimenting with different approaches to find the optimal path forward for managing the projects for this team.

In The First Six Months, Expect To

    • Be running multiple projects with multiple teams — smoothly.
    • Work with the Executive Creative Director to kick off new projects, ensuring they also run smoothly.

In The First Year, Expect To

    • Give your first year an honest assessment - see what worked well, and what needs to be improved moving forward. Develop improvements and continue to take on additional responsibilities.

Requirements

  • 5+ years of creative operations/project management experience in an agency or in-house.
  • Have a passion for creative work and are someone that understands creative professionals.
  • Create processes and plans that support them in producing amazing work.
  • See the big picture, but be willing (and eager!) to roll up your sleeves and get into the details.
  • Asana, Trello & Slack experience a huge plus.
  • Experience managing multiple projects, for various channels, with varying levels of complexity, with multiple teams, all at the same time, with ease.
  • Natural communicator, both verbally and written.
  • Extremely organized, a keeper of information who takes copious notes.
  • Ability to take it in stride and can tactfully defuse stressful situations.
  • Positive attitude, who is always willing to find a way to make it work.

Position Description

You are organized, flexible, and have the ability to work with, and on behalf, of the creative department. Your strong project management chops will help you play a pivotal role in keeping jobs moving internally and managing the expectation across departments. You will engage with the project owners, gathering information and understanding the overall direction of the campaign and creative request.

You’ll proactively work to move the creative team members toward completion of project deliverables and support the team in various administrative activities like owning project schedules, coordinating with different teams to ensure that projects start and finish on time, that all stakeholders have reviewed and approved in a timely manner, and enforce process during projects. You’ll be the lynchpin of efficiency and help the Executive Creative Director run an inspirational idea machine.
