  • Experienced with the risk assessment and controls frameworks (e.g. NIST RMF, CSF, 800-53) and able to analyze and assess controls across project portfolio to advise on a risk-informed program roadmap
  • Ability to lead and delegate across several project teams across IS (e.g. IdAM, incident response/recovery, data security and engineering, vulnerability mgmt. etc.)

Summary

The overarching goal for Foundation operations is to enable efficient, collaborative, and impactful work both within the Foundation and with our broader community, work that is consistent with our social justice mission.

The Operations Project Manager will be a member of the COO’s team, and assist with the shaping, resource and time-tracking, and timely implementation of ongoing and new Foundation-wide projects that aim to improve the efficiency of operational and program work. This position reports to the Director of Operations and Business Systems (“Director”).



Position details:

The primary responsibilities may include but will not be limited to:

 Working closely with the COO and Director to convene and manage cross-foundation advisory and working groups to support operations and business systems initiative planning, analysis, and implementations.

 Working with the Director, and relevant operational and program staff, to plan, analyze, implement, and monitor operations and business systems initiatives.

 Developing and maintaining workflow and process documentation, timelines, and effectively tracking resources and deliverables.

 Assisting in budget development and tracking for projects throughout the Foundation.

 Liaising with members of the Foundation’s program, operational, technology, finance and other staff about shared initiatives, grantmaking, operations, and communications.

 Partner with the Foundation’s office of communications to develop clear, consistent, and effective internal communications

 Providing project support, as needed, to other members of the COO team.

 Helping maintain a work environment that is collegial, collaborative, outcomes-oriented, and efficient.

Required skills or experience:

 MBA or master’s degree in an academic discipline related to business or technology.

 7-10 years professional experience, including staff management.

 Superior organizational, project, budget, and resource-management skills, with strong attention to detail.

 Experience managing multiple complex operational and/or technology projects with multiple work streams.

 Experience analyzing and documenting processes and workflows to support decision making.

 Exceptional oral, written, mathematical, technological, and visual communication and presentation skills.

 Proven ability to work independently in a fast-paced environment, effectively structure projects, and prioritize time and task sequences.

 Demonstrated capacity to influence, negotiate, and facilitate processes in a collegial manner.

 Technologically savvy and proficiency in MS Office Suite, project management software, and a demonstrated ability to quickly learn new tools.

 Certification in project management and demonstrated project management track record.

 Familiarity/knowledge of foundations and/or with the grantmaking process and/or foundation operations preferred.

The following describe the general roles and responsibilities of a ProEd Senior Program Manager:

  • Management of internal and client kick-off meetings and materials, in coordination with the account manager, including support of project brief development

  • Support client coordination with collaborating health care providers on logistical and administrative matters, such as compliance documentation, meeting logistics, and content approvals
  • Support ongoing management of clinical study publications with designated software, including uploading and execution of publication submissions to journals, managing status of a submitted article and communicating status to clients and internal team members
  • Provide account manager assistance on management of project budgets throughout development

Qualifications For Position

  • A bachelor’s degree, preferred
  • Strong organizational skills, including the ability to prioritize and multi-task
  • Highly motivated and proactive with a self-starter attitude
  • Demonstrated proficiency with Microsoft Office (Excel, PPT, Word, Outlook, and SharePoint)
