The Records & Information Management (RIM) Program Manager serves as subject matter expert for The Lifetime Healthcare Companies Records & Information Management Program. This position consults with Enterprise Legal Solutions, Enterprise Information Technology (EIT) and business partners to ensure the development, establishment, maintenance and monitoring of effective systems of control for safeguarding all records and information and deployment of information technology techniques and business management practices.

Essential Responsibilities/Accountabilities

All Levels

  • Serves as the Program Manager responsible for supporting The Lifetime Healthcare Companies RIM program for both core mission and administrative records; regardless of medium or format.
  • Works closely and proactively with Enterprise Legal Solutions to ensure records/information assets are managed to protect the interests of The Lifetime Healthcare Companies and mitigate records-related litigation risks.
  • Supports RIM program by participating in The Lifetime Healthcare Companies planning process for all major information systems to ensure that records and information management functionality, appropriate to the records/information assets they support, is included in the system design.
  • Supports the implementation of policy and guidance for record and information- keeping and disposition in accordance with strategic planning and any relevant regulatory and legal requirements.
  • Coordinates directly with business area and information technology program administrators and custodians to ensure record and information creation, maintenance, use, and disposition are in accordance with RIM Corporate Policies.
  • Partners with internal stakeholders to evaluate current systems and administer specialized systems for managing the lifecycle of business records.
  • Understands critical business processes, identifies gaps, establishes goals and objectives, and facilitates the implementation of procedural changes that preserve information and ensures legal and regulatory compliance.
  • Creates and manages critical RIM workflows that align records management with organizational business processes.
  • Partners with EIT to review and recommend business applications that support strategic objectives and enhance program efficiency.
  • Develops training and processes to ensure all Lifetime Healthcare Companies staff is knowledgeable and remains current regarding records and information management principles and requirements.
  • Executes RIM across organizational business areas including communications and change management activities.
  • Monitors program activities; identifies opportunities for continuous improvement and implements improvements, as needed.
  • Consistently demonstrates high standards of integrity by supporting The Lifetime Healthcare Companies’ mission and values, adhering to the Corporate Code of Business Conduct and leading to the Lifetime Way values and beliefs.
  • Maintains high regard for member privacy in accordance with the corporate privacy policies and procedures.
  • Regular and reliable attendance is expected and required.
  • Performs other functions as assigned by management.

Level II (in Addition To Level I Responsibilities)

  • Configures, maintains and applies configuration to systems as defined by policy.
  • Leads, supports and implements system upgrades in support of Information Life Cycle management to corporate content.
  • Supports and leads Information Governance Committee in support of continuous improvements and implementing policies in support of Information Lifecycle Management from creation to destruction.


Minimum Qualifications:

We include two levels of classification differentiated by demonstrated knowledge, skills, and the ability to manage increasingly independent and/or complex assignments, broader responsibility, additional decision making, and in some cases, becoming a resource to others. In addition to using this differentiated approach to place new hires, it also provides guideposts for employee development and promotional opportunities.

Level I

  • Bachelor’s degree in Health Information Management or related area with a minimum of 7 years related experience or RIM training. In lieu of degree, a minimum of 10 years in health insurance, health care delivery or Information Governance.
  • Experience in data governance preferred.
  • Extensive knowledge of RIM regulations and industry best practices.
  • Proven project management/implementation skills.
  • Demonstrated knowledge of corporate operations, corporate goals and objectives and the organization’s structure.
  • Demonstrated knowledge of policies, retention schedules, taxonomies and business rules related to Records and Information Management.
  • Demonstrated knowledge of the principles and skills in the management of digital/electronic information through its life cycle. Knowledge of legal hold, preservation and discovery principles for records and information.
  • Customer orientation, collaboration and team-based skills. Ability to work across organizational boundaries to accomplish tasks and support RIM mission objectives.
  • Strong analytical and organizational skills and ability to manage multiple projects simultaneously with minimal management directive.
  • Excellent written and verbal communication skills.
  • Excellent PC skills including Word, Excel, Outlook, Lotus Notes, Microsoft Compliance and Security Center.

Level II (in Addition To Level I Qualifications)

  • A minimum of 10 years related experience.
  • Professional certification in Records Management and/or Information Governance.
  • Proven Records Management and Lifecycle Management experience skills.
  • Proven Information Governance experience skills.
  • Proven experience with records and information lifecycle policies, retention schedules, taxonomies and business rules related to Records and Information Management.
  • Proven system configuration, upgrades and monitoring experience, preferable in Records and Information Management.
  • Demonstrated abilities in handling the highest level of complex issues and decision-making in project work groups.
  • Ability to operate under the highest degree of initiative, innovation and autonomy with limited guidance.

Physical Requirements:

  • Ability to travel across company regions.
  • Ability to move and/or lift up to 20 lbs.
